Code of Conduct
VRTO Management is dedicated to providing a safe and welcoming experience for all VRTO 2022 participants. To this end, VRTO Management strictly prohibits any act that demeans, menaces, discriminates against, or harasses any VRTO 2022 participant based on their sex, gender, gender identity or expression, age, sexual orientation, disability, physical appearance, body size, race, color, national origin, ethnicity, religion (or lack thereof), creed, veteran status, technology choices, or other characteristic(s). Sexual language and imagery are not appropriate for any conference venue, including talks, workshops, parties, Twitter and other online media. While at VRTO 2022 or any related events, staff, sponsors, volunteers, vendors, VRTO agents, speakers, attendees, exhibitors, media, and all other participants are prohibited from: demeaning, menacing, discriminating against, and/or harassing any individual at VRTO 2022 based on any of the afore-listed characteristics; engaging in any acts of violence; possessing any item that can be used as a weapon; possessing any illegal substance; smoking (other than in designated areas); and/or failing to obey any rule or regulation of VRTO or of the venue.
VRTO Management expects all VRTO 2022 participants to abide by this Code of Conduct at all conference venues and conference-related social events. If a participant engages in any prohibited or otherwise unacceptable behavior, VRTO Management, in its sole discretion, may take any action they deem appropriate, including removing the violator from VRTO 2022 without warning and contacting the authorities as necessary. VRTO 2022 participants who are removed from any event pursuant to this provision will not receive a refund of their admission fee. If you believe that you are the victim of or have witnessed any violation of this Code of Conduct, please report it to VRTO Management by emailing info at virtualreality dot to. All determinations of violations of this Code of Conduct will be made in VRTO Management’s sole discretion and such decision(s) are final.
Please know that VRTO staff will be available to help participants contact venue security or local law enforcement, to provide escorts, or to otherwise assist those experiencing unacceptable behavior to feel safe for the duration of VRTO 2022.
This Code of Conduct is without prejudice to VRTO’s rights, all of which it expressly reserves. VRTO Management further reserves the right to modify this Code of Conduct at any time and in its sole discretion.
COVID-19 Policies
VRTO strictly follows COVID-19 safety procedures as contemplated by the the World Health Organization, Health Canada, the Ministry of Health and local health organizations.
During your attendance at VRTO 2022, you will be required to support our COVID-19 Safety and Prevention Efforts; and strictly follow our COVID-19 policies and procedures. These policies and procedures may be modified at any time in advance of or during VRTO 2022. It is recommended (but not required) that all attendees, exhibitors and staff wear masks indoors at VRTO 2022. Other COVID-19 policies and procedures may include but are not limited to personal sanitization, social distancing, and conducting health checks such as temperature screening and/or symptom checking. Please review our Health and Safety policies for full details.
If you develop, exhibit or experience any COVID-19 symptoms while attending VRTO 2022, VRTO will direct you to the designated quarantine area for further testing and instruction. Should you test positive for any COVID-19 symptom or fail any on-site health questionnaire, or as otherwise directed by VRTO policy or procedure, you will not be admitted to the Exhibit Halls or any other area designated to VRTO 2022, and you will not be entitled to any refund under any circumstances. VRTO will not share your identity or personal health information with third parties unless required by law, regulation, governing rule, or court order.
COVID-19 WARNING, ASSUMPTION OF RISK, WAIVER OF RISK AND RELEASE OF LIABILITY AND INDEMNIFICATION FOR ATTENDING VRTO VIRTUAL AND AUGMENTED REALITY CONFERENCE (VRTO 2022)
WARNING RELATED TO COVID-19 INFECTION
The novel coronavirus, COVID-19, has been declared a worldwide pandemic by the World Health Organization. COVID-19 is reported to be extremely contagious.
Evidence has shown that COVID-19 can cause serious and potentially life-threatening illness and even death.
As a result, federal, provincial, and local governments and federal and provincial health agencies recommend social distancing and have, in many locations, prohibited the congregation of groups of people.
It is not possible for VRTO to prevent against the presence of the disease; and therefore, if you choose to attend the VRTO 2022 you may be exposing yourself to and/or increasing your risk of contracting or spreading COVID-19. COVID-19 infection may result in personal injury, illness, permanent disability, and death.
VRTO cannot prevent you from becoming exposed to, contracting, or spreading COVID-19 while attending VRTO 2022.
The risk of becoming exposed to or infected by COVID-19 while attending the VRTO 2022 may result from the actions, omissions, or negligence of you and others, including, but not limited to, VRTO employees, volunteers, and VRTO attendees, OCAD and their employees.
ASSUMPTION OF RISK
I have read and understood the above warning concerning COVID-19. Attending the VRTO 2022 is of such value to me that I accept the risk of being exposed to, contracting, and/or spreading COVID-19 in order to attend VRTO 2022, and I hereby declare that I choose to accept the risk of contracting COVID-19 and I agree that I am personally responsible for my safety and actions while attending VRTO 2022.
WAIVER OF LAWSUIT/ RELEASE OF LIABILITY
With full awareness and appreciation of the risks involved, I, for myself and on behalf of my family, spouse, estate, heirs, executors, administrators, assigns, and personal representatives, hereby forever release, waive, discharge, and covenant not to sue VRTO and/or Constant Change Media Group, its board members, officers, agents, servants, independent contractors, affiliates, employees, successors, and assigns (collectively the “Released Parties”) from any and all liability, claims, demands, actions, and causes of action whatsoever, directly or indirectly arising out of or related to any loss, damage, or injury, including death, that may be sustained by me related to COVID-19 whether caused by the negligence of the Released Parties, any third-party attending VRTO 2022, or otherwise, while participating in any activity while in, on, or around VRTO 2022 and/or while using any facilities, tools, equipment, or materials.
INDEMNIFICATION
I agree to indemnify, defend, and hold harmless the Released Parties from and against any and all costs, expenses, damages, claims, lawsuits, judgments, losses, and/or liabilities (including attorney fees) arising either directly or indirectly from or related to any and all claims made by or against any of the Released Parties due to bodily injury, death, loss of use, monetary loss, or any other injury from or related to my attendance to VRTO 2022 or use of any facilities, tools, equipment, or materials related to the VRTO 2022, whether caused by the negligence of the Released Parties or otherwise specifically related to COVID-19.
Data Collection
By registering for VRTO 2022, you consent to VRTO’s collection and storage of the data on the registration form in Canada and/or the United States.
Email: You will have the opportunity to opt in to additional email communications through registration. VRTO and its vendors, exhibitors and partners always treat your personal information with the utmost care and never sells or gives it to other companies without your permission. When we contact you by email, all email campaigns from VRTO will contain instructions and/or hyper-links to Opt In or Opt Out (unsubscribe) of our email lists. From time to time you may see or hear of a company claiming to have data we’ve collected for sale or trade. These are scammers that are not associated with VRTO in any way. You are encouraged to report these instances to the proper authorities.
VRTO 2022 Member Registration
Photography Disclaimer
From time to time, VRTO or its contractors record, photograph and/or stream the various aspects and activities of VRTO 2022, for both archival and promotional purposes. By attending VRTO 2022, attendees give VRTO and its contractors’ permission to use any attendee’s voice and image in any such archival or promotional recording, photograph or streaming activity without any compensation or credit to the attendee.
Refunds / Cancellations
We do not accept refunds requests.
VRTO 2022 reserves the right to cancel any program and assumes no responsibility for personal expenses.
Registration Verification / Changes
Changes to your registration can be made online through Eventbrite.
Suitcasing / Outboarding
Suitcasing and outboarding rules and regulations pertain to the show floor, VRTO 2022 public areas, OCAD and official Conference locations.
VRTO restricts Exhibitors from hosting or participating in competing or conflicting events or activities that occur during official VRTO 2022 hours; this is considered “outboarding”. Exhibitors violating this policy will be subject to cancellation of their booth without refund and may not be invited to participate in future events.
VRTO has a zero-tolerance policy regarding “suitcasing”. All marketing and promotion must remain within the contracted exhibit space. Marketing materials may not be placed on conference tables or other areas that are not within the boundaries of the booth, both inside and outside of the Exhibit Hall. VRTO Management reserves the right to remove individuals or discard display materials that do not comply with these guidelines.
